Church Member privacy statement

Burlington collects key information from you to enable the church to keep in touch with you in a range of ways (e.g. text, email, social media) to progress the mission and ministry of the church community and provide pastoral support as appropriate.

Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest to communicate with you on matters (for example) of prayer, events or members meetings and assisting with Gift Aid claims. Sometimes this will mean data being sent to members who are outside of the UK.

For specific activities we may require you to give additional explicit consent (for example) to share your details with a non Burlington organisation. For example: a summary of the information is provided annually to the Baptist Union e.g. number of church members but no individual personal details are passed on.

Please note that you can ask for your details to be removed at any time and you can edit your privacy settings (e.g. what data other ChurchSuite users can see) or the personal data itself online (or the Data Protection Officer or Church Secretary can do this for you).

Your name and contact details are on the church’s ChurchSuite, third party maintained, database to which all members and friends have a personal login access. General access is provided separately by a small number of Administrator accounts which are individually password protected – these include access by the Church Secretary.

Your contact details will be removed from the database once you are no longer a member or friend of the church.

If you serve Burlington Baptist Church as a member of staff or in a key role then we will pass on your name and contact details to the Baptist Union of Great Britain and/or the Eastern Baptist Association (of which we are members) to enable them to send you information relevant to your role. We will always ensure you are aware of what information is being shared with them and you will be able to decide which contact details are shared.

To enable us to provide adequate pastoral support to you and your family, one of the Ministry Team may record information which may be regarded as sensitive/special category data. Note that this recording of such information from members is part of our legitimate data processing activities as a non-profit body or association which exists for religious purposes. This information will be stored on password protected computing devices but the password will only be known by relevant individuals in the Ministry Team. This information will NOT be disclosed outside of the Ministry Team without your explicit consent.

You have the right to ask to see any information we hold about you (including the pastoral support information) by submitting a ‘Subject Access Request’ to the Church Secretary (via email [email protected]). You also have the right to ask for information which you believe to be incorrect to be rectified.

Under Data Protection legislation the church Charity Trustees of Burlington Baptist Church are the Data Controller for your data. The Church Secretary is your contact for data protection matters and can be reached via email at [email protected] or the church office 01473 259571.

If you are concerned about the way your information is being handled, please speak to our Church Secretary. If you are still unhappy you have the right to complain to the Information Commissioners Office.

General Non-Church Member related privacy notice

(to be used as general purpose for small groups)

By providing your personal data to Burlington e.g. name and contact details you are agreeing to the following (for yourself or someone you are responsible for e.g. a parent for a child):

Burlington collects key personal information from its non-members to enable us to keep in touch with you in a range of ways (e.g. text, email, social media) to progress the mission and ministry of this community and provide our direct pastoral support (as appropriate). This information will NOT be disclosed to anyone else without your explicit consent.

Data Protection legislation allows us to process this information where it is in the community’s legitimate interest e.g. to communicate with you with regard to relevant community events, assisting with Gift Aid claims.

Depending on the nature of our relationship with you we may also communicate on matters of prayer and activities in a range of areas of Burlington community life outside of those you may be involved in. For specific activities/events we may require you to give additional explicit consent.

Please note that you can ask us to show what details we hold and request for any of your details to be removed/changed at any time. You can request that you are only contacted in certain ways e.g. text, and only for certain types of communication e.g. events associated with activities you are involved in.

Your name and contact details are on a relevant list(s) which are only accessed by the leaders of activity(ies) that you are involved with. This will be password protected/held in secure storage.

Where it is appropriate in the activity with which you are involved some personal information e.g. email, mobile, social media identity, may be shared with other community members to facilitate relationship building/support but you will be consulted first and you can opt out of this at any time.

For some one-off events where there is no need to retain your information it will be deleted/destroyed. However, usually we will keep you informed about future Burlington related activities we think you might be interested in but you can opt out of this communication at any time.

We will NOT pass on this information to anyone else. You have the right to ask to be removed from this circulation list at any time.

Where you have regular contact with us and you specifically seek pastoral support then one of the Ministry Team may record information which may be regarded as sensitive/special category data.

The information will be stored as above and not disclosed outside of the Ministry Team without your further explicit consent.

Contact card privacy notice

By providing your contact details you are agreeing to allow the Ministry Team at Burlington to contact you to offer their welcome. Any information you provide on this form will be securely handled only by the Ministry Team and safely destroyed as soon as it is no longer needed. Employee privacy notice

We are collecting this information to enable us to enter into a contract of employment with you. If you are unable to provide this information then we will be unable to enter into that contract.

The information you supply in this form will be:

We will be undertaking performance appraisals as part of your employment and copies of the reports from these (along with all documents supplied as part of your application) will be kept in a password protected on computers used for church business and which can only be accessed by your Line Manager/Supervisor. If appropriate, information from these documents may be shared with the charity Trustees but will NOT be shared with anyone else without your consent.
